1. Who we are

HostAnchor is operated by HOSTANCHORHQ PTE. LTD. (UEN 202635198D), a company incorporated in Singapore with its registered office at 160 Robinson Road, #14-04, Singapore Business Federation Center, Singapore 068914 (“HostAnchor”, “we”, “us”). This policy explains how we handle personal data on our website (hostanchorhq.com) and in the HostAnchor platform (together, the “Services”).

2. Two roles: our customers' data and their guests' data

HostAnchor is used by hospitality businesses (“Properties”) to manage bookings, guests and payments. We therefore handle personal data in two distinct roles:

  • As a controller for data about our own customers and prospects — the people who create HostAnchor accounts, request demos, or contact us.
  • As a processor for data about guests of the Properties that use our platform. Each Property decides what guest data it collects and why; we process it on the Property's instructions to provide the Services. Guests should direct privacy requests to the Property they booked with; we support Properties in fulfilling them.

3. Personal data we collect

From customers and prospects (as controller)

  • Contact and company details — name, email address, phone number, company name, website, business type, number of units, and country, for example when you request a demo.
  • Account data — login credentials and profile and configuration information for your HostAnchor account.
  • Billing data — subscription plan, invoices and payment status. Payment card details are collected and processed by our payment service providers, not stored by us.
  • Communications — messages you send us by email, phone or WhatsApp.

On behalf of Properties (as processor)

  • Guest and booking data — guest names and contact details, stay dates, room or unit assignments, preferences, requests, and communications between guests and the Property.
  • Transaction data — charges, orders and payment records connected to a stay.

Automatically, on the website

  • Technical logs — IP address, browser type and pages requested, as generated by our hosting infrastructure for security and reliability.

4. How we use personal data

  • To provide, operate and improve the Services;
  • To respond to demo requests and enquiries;
  • To manage subscriptions, invoicing and payments;
  • To secure the Services and prevent fraud and abuse;
  • To send service communications, and — with your consent or as otherwise permitted — product updates and other marketing, which you can opt out of at any time via the unsubscribe link in any such email or by emailing us;
  • To comply with legal obligations.

Where the GDPR or similar laws apply, our legal bases are performance of a contract, our legitimate interests in operating and securing the Services, consent (where required, e.g. for marketing), and compliance with legal obligations.

5. Sharing and service providers

We do not sell personal data. We share it only with service providers who help us run the Services, under contracts that restrict their use of it:

  • Amazon Web Services (AWS) — hosting of platform customer and guest data (see Section 6);
  • Vercel — hosting and delivery of our website;
  • Resend — transactional email (e.g. demo-request confirmations);
  • Aiosell — channel connectivity: relaying rates, availability and booking synchronisation data between the platform and online travel agencies. Guest and booking records are stored on our own infrastructure, not Aiosell's;
  • Google Fonts — font delivery on our website (your browser requests font files from Google's servers, which discloses your IP address to Google);
  • WhatsApp (Meta) — if you choose to contact us on WhatsApp, subject to WhatsApp's own terms.

Online payment processing is not yet live on the platform. When it launches, payments will be handled by regulated payment service providers, and we will update this policy to name them before they begin processing personal data.

We may also disclose personal data where required by law, to protect our rights, or as part of a corporate transaction such as a merger or acquisition, in which case this policy will continue to apply until updated.

6. Where data is stored

Platform customer and guest data is hosted on Amazon Web Services in the Singapore region (ap-southeast-1). Our marketing website is delivered from Vercel's global network. Where personal data is transferred across borders — for example when a Property or guest is outside Singapore — we rely on appropriate safeguards such as contractual data-protection commitments with our providers.

7. Security

We use encryption in transit, access controls and reputable cloud infrastructure to protect personal data. No system is perfectly secure, and we cannot guarantee absolute security; we will notify affected customers and regulators of data breaches where the law requires it.

8. Retention

We keep customer account data for as long as the account is active and for a limited period afterwards to meet legal, accounting and dispute-resolution obligations. Guest data processed on behalf of a Property is retained according to that Property's instructions and our contract with them, and is deleted or returned when the contract ends, subject to legal retention requirements.

9. Your rights

Depending on where you are, including under Singapore's Personal Data Protection Act and the GDPR, you may have rights to access, correct, delete, or receive a copy of your personal data, to object to or restrict certain processing, and to withdraw consent. To exercise them, email shrikanth@hostanchorhq.com. We respond within the timelines required by applicable law. If you are a guest of a Property, please contact that Property first; we will support their response.

10. Cookies

Our marketing website does not currently set advertising or analytics cookies. The platform uses cookies that are strictly necessary for signing in and keeping your session secure. If we introduce analytics or marketing cookies in future, we will update this policy and, where required, ask for consent first.

11. Third-party links

Our Services link to third-party sites (for example, OTAs and payment providers). Their privacy practices are their own; this policy does not cover them.

12. Children

Our Services are for businesses and are not directed at children. We do not knowingly collect personal data from children for our own purposes.

13. Changes to this policy

We may update this policy from time to time. We will post the updated version on this page with a new “Last updated” date, and for material changes we will notify customers by email or in the platform.
